An opportunity exists for a Customer Service Officer to join our Sydney team with responsibilities in coordinating and overseeing the movement of international cargo both in and out of Australia to best service our customers.

The successful candidate will have proven industry operations knowledge & experience (minimum 3 years) including handling Australian Customs and DAFF freight issues. You will have excellent communication and negotiation skills, will be highly motivated and organised to ensure accuracy of all transactions and to achieve deadlines.

The key responsibilities of the role will include:

  • Daily operations and coordination of allocated freight accounts
  • Liaising with customers & shipping lines
  • Providing quotations as required
  • Meeting operational procedures for clients
  • Proactively follow up on orders
  • Accuracy and timeliness of invoicing
  • Routing shipments

We are now seeking a Warehouse Coordinator to join our Legal, Commercial and Supply Chain team on a FIFO 8/6 roster from Perth or Kalgoorlie.

Accountable to the Manager Supply, this role is responsible for the coordination and management of the site Warehouse function while delivering an efficient warehousing service to the mine site and to monitor inventories to ensure uninterrupted operations.

The main tasks of the role include:

  • Oversee, monitor and develop Warehousing functions to achieve industry best practise
  • Supervise Warehouse staff
  • Assist in the management of Health & Safety in the supply section
  • Inventory end of month procedures
  • Reporting
  • Ensure warehouse stock levels are maintained at appropriate level
  • Issuing and receiving of inventory to and from the warehouse
  • Provide SAP MM advice and training to site users
  • Loading/unloading trucks when required
  • Consult and work closely with providers of specialist supply services located offsite to ensure cost effective and timely delivery of supply
  • Manage established inventory system to ensure data accuracy
  • Ensure general housekeeping of warehouse

The ideal candidate will possess:

  • 3-4 years experience as a Warehouse Coordinator
  • FIFO Mining Operations experience essential
  • Ability to supervise and manage a team of Warehouse Officers
  • Sound practical, planning and prioritising skills
  • Exposure and solid understanding of SAP
  • A strong work ethic
  • Ability to build effective relationships internally and externally
  • Forklift license
  • Current WA Drivers Licence

RESPONSIBILITIES:

Provide a quality customer service within areas of acceptance, delivery, loading/unloading and securing of freight, using appropriate machinery and equipment to maximise capacity of linehaul vehicles, wagons and containers taking into consideration -

  • Dangerous Goods Procedures (relevant modules);
  • Workplace Health and Safety Requirements, Environmental Policies and Department of Transport (DOT) Regulations;
  • Pallet control procedures;
  • QLink networks and systems, including Postrac and Co-Driver;
  • Basic freight accounting procedures and basic computer operation.

Operate a multi combinational vehicle in accordance with -

  • DOT Regulations;
  • Manufacturer's specifications;
  • Fatigue management principles and provide coaching/mentoring and guidance in this area.

Ensure safe, cost effective and efficient use of machinery and equipment occurs by -
  • Providing minor servicing and maintenance to relevant machinery and equipment;
  • Performing daily maintenance checks and reporting necessary repairs (as per manufacturer's instructions).
Perform a variety of tasks as directed by the relevant supervisor or as agreed by the work team for the effective and efficient running of the Freight Terminal, including, but not limited to -


  • Answering the telephone;
  • Housekeeping (keeping work area and vehicles clean and tidy);
  • Working in a co-operative way with other teams throughout QLink;
  • Control Systems e.g. run sheets and time sheets.

Ensure security of freight at all times and report any discrepancies to the relevant Supervisor and handle freight in such a way that minimises service failures in terms of -

  • Damage;
  • Misdirections;
  • Split consignments;
  • Theft.
  • Respond to customer requests for information including but not limited to -
  • The location of freight;
  • Delivery timeframes;
  • Specific orders;
  • Specific loading requirements.

Contribute as part of a productive quality and customer focused team and -

  • Adhere to QLink's goals/Business Plans;
  • Work co-operatively with others in the team;
  • Contribute to team decisions;
  • Support team decisions when made;
  • Participate at team meetings;
  • Work under limited guidance.

Meet service levels and schedules to satisfy customers expectations i.e. damage free and on time performance.

ADDITIONAL FACTORS:

The appointee will be required to -

The Role:
The Logistics Operations Manager primary responsibilities is as below;

Occupational Health and Safety

  • Conduct all activities in a safe and efficient manner in accordance with the company’s policies and procedures. Ensuring the welfare of personnel and the protection of assets and the environment at all times.
  • Ensure logistics contractors reflect the organizations commitment to and compliance with safety, quality and health regimes.

Planning

  • Develop, establish and implement robust project and contracting strategy for the Offshore Logistics Base and the MSB in consultation with the Contracts and Procurement group and the GM Logistics.
  • Ensure logistics contracts are made and maintained in line with company, regulatory and industry expectations and requirements.
  • Ensure contract review meetings are scheduled and applicable contract renewals are completed to maintain business continuity .

Contract Management

  • Identify, evaluate, select and maintain (in consultation with the GM Logistics and Contracts and Procurement group) qualified contractors and suppliers.
  • Ensure logistics contracts are made within a governance framework covering standards, processes, systems and risk management in consultation with Contracts and Procurement group.
  • Manage Contractor performance across the Logistics Supply Chain to ensure appropriate innovation and continuous improvement, agreed levels of customer service and risk mitigation.
  • Ensure that contracts have their agreed regular contract review meetings including minutes and actions.
  • Ensure that all contracts have a close out review and a detailed ‘lessons leant’ review.

Operations Management

  • Ensure the effective and efficient operational function and performance of a logistics facility incorporating warehousing and transportation management.
  • Lead, manage and develop a team to ensure the effective provision of logistics services (including materials, transport and aviation services) to customers and ensuring adherence to standard operating procedures and client agreements across multiple sites.
  • Plan, implement and evaluate international transport requirements, operational plans, transport and distribution plans and supporting budgets.
Essential Skills / Qualifications:
Performance Management

  • Measure contractors and suppliers performance through KPI’s, benchmarking, management statistics and contractual review meetings.
Project Management
  • Establish and maintain a comprehensive schedule and plan of the various logistics projects.
  • Achieve the agreed project milestones within the agreed time and budget.
  • Provide various project update and reports on progress on a regular agreed basis and as and when required.
  • Complete project close out reports and lessons leaned documentation at the completion of each project.

Team Work
  • Establish and lead a team of project personnel who are committed to achieve the project outcomes.
  • Work in a harmonious, safe and efficient manner with all client personnel.
  • Develop and maintain close working relationships with internal stakeholders and contractors.
  • Provide assistance to the Logistics team where requested.
