The position of Directorate Administration Officer will provide efficient and effective administrative support and general administrative duties within the Paediatric Intensive Care Unit environment.

The Opportunity
  • Undertake general administrative tasks under the direction of the Medical Director, Senior Medical Officers and other senior staff members in PICU (both medical and nursing) including but not limited to preparation of correspondence, prioritisation of tasks and emails for PICU Director, invoices, organising interviews, preparation of forms, maintenance of databases etc.
  • Assist with intake of new Registrars
  • Arrange meetings and prepare and distribute agendas and minutes
  • Undertake tasks in association with the other Directorate Administration Officers within PICU – i.e. rostering tasks such as distribution of rosters, reconciliation of sign on sheets and leave forms, providing payroll reports etc.
  • Provide relief (sick leave / training backfill) for the PICU Ward AO role as required.

The Successful Candidate
  • Proven ability to perform the key responsibilities associated with each of the specific roles outlined in the table above.
  • You will have demonstrated high standard of clerical, administrative and secretarial support to senior managerial positions.
  • High level communication and interpersonal written and the ability to consult and negotiate with clients and staff at all levels of the organisation.
  • Proficiency or ability to rapidly acquire skills in the use of multiple Clinical Information systems utilised for administrative purposes.
  • Advanced skills in Microsoft Excel.

Ability to work effectively with limited supervision, meet deadlines and established work priorities

KEY RESPONSIBILITIES

  • Provide 1st and 2nd level support to the IT team in resolving technical problems and provide professional, responsive, timely and effective assistance to clients across a range of ICT related incidents and tasks, by phone, onsite and email.
  • Effectively deal with customer requests through to completion by providing proactive client communications, regular liaison with relevant stakeholders, and the escalation of requests to 3rd level support in accordance with service level thresholds
  • Participate in, and provide assistance, to project teams and project based activities.
  • Assist with the operation of Server and Network environments and associated equipment including the maintenance and approval of QMN applications content as per ICT guidelines.
  • Administer the ICT purchasing and disposals as per Government Information Technology Contracting (GITC) guidelines.
  • Make recommendations and provide advice on technical strategies and implementation for Desktop Infrastructure.
  • Assist in asset management both Software & Hardware, update registers and organize the yearly audit.
  • Manage own work plan to meet brand, vision and strategic and operational objectives.
  • Assist in the development and maintenance of training materials, fact sheets, technical documentation and solutions and the provision of informal training on the use of Information Technology hardware and application software.
  • Contribute to the safety culture of QMN by reporting all incidents and hazards and ensuring work is undertaken in the safest way possible, following all QMN WHS policies/procedures and guidelines relevant to the job. Undertake all relevant responsibilities identified in the QMN WHS Accountabilities and Responsibilities Matrix.

Pay and Benefits

You’ll be paid while you undertake your training, and receive free healthcare and subsidised accommodation. Members of the Reserve on part-time service are paid at a daily rate of pay and on completion of training; this occupation attracts a starting rate of $140.44 per day (tax free).

Postings range from large Combat Service Support Battalions (CSSB) located in most capital cities to small technical support platoons and squadrons located throughout Australia.

Education Requirements

Completion of Australian Year 9 education (or equivalent) with passes in English and Mathematics.

Must have completed a Certificate III in Automotive Mechanical (Heavy Road Transport or Heavy Vehicle Mobile Plant Equipment or Light Vehicle or equivalent qualifications) and have these qualifications certified by the Army Logistic Training Centre.

This position is to provide a range of support services, such as budget preparation, reporting, analysis and reconciliations within the Branch. This finance support role will work closely with the Senior Manager, Health Infrastructure Program
(HIP) finance to support the Branch and its clients to ensure responsive and accurate results. Technical accounting knowledge, high level analytical, financial planning, and budgeting are all essential requirements of the position.

Eligibility/Other Requirements: Progression of or progress towards qualifications in accounting or a related discipline would be an advantage, or equivalent operational experience.

DUTY STATEMENT

  • Provide support and advice, on such matters as planning, resource allocation and other business of the HIP.

  • Monitor, undertake analysis and report on project reconciliation status.
  • Assist with audit liaison for financial statements that are prepared within the area.
  • Develop systems and processes necessary to ensure compliance matters in assigned areas are met and reported.
  • Support all budget managers to be aware of their compliance and responsibilities by ensuring that reporting systems and processes are operational.

The Australian Statistician’s Fellowship Program is designed to rapidly develop very high calibre recruits at an early stage of their career. It is seeking talented candidates with demonstrated leadership attributes, academic excellence, work experience with excellent performance and statistical literacy skills who are passionate about the work of the ABS.

This unique opportunity will expose participants to a contemporary and practical experiential development program over a three year period. Participants will be stretched and challenged with a range of corporate placements and development opportunities. Participants will be mentored throughout the Australian Statistician's Fellowship Program, including with ABS Senior Leaders. They will contribute to and shape the strategic directions of the ABS through project work and placements in a number of key business areas.

The Australian Statistician’s Fellowship Program will commence in February 2014 and conclude in December 2016.

Participants will be based in Canberra for the duration of the Australian Statistician’s Fellowship Program and must be willing to relocate for up to six months in Year 2 to undertake an international or interstate placement.
