Our law practice produces a lot of filing. Whether it be incoming mail, emails, faxes or documentation we produce, it must all be filed both electronically and psychical files. A patient and diligent person would be welcomed in joining our team.

The Role

The position is a full time job which needs a person that respects the importance of correct filing. The successful applicant will be well presented, have a clearly spoken and pleasant telephone manner, be able to take instructions and also have the ability to apply initiative and work unsupervised.

The successful applicant must also enjoy working closely and sharing workloads with colleagues.

The role will have the following key responsibilities but is not limited to:
  • Filing & file management
  • Word processing
  • Photocopying and scanning
  • Typing and amending correspondence and documents
  • Basic clerical duties such as answering telephone calls and banking

The Opportunity
  • Undertake general administrative tasks under the direction of the Medical Director, Senior Medical Officers and other senior staff members in PICU (both medical and nursing) including but not limited to preparation of correspondence, prioritisation of tasks and emails for PICU Director, invoices, organising interviews, preparation of forms, maintenance of databases etc.
  • Assist with intake of new Registrars
  • Arrange meetings and prepare and distribute agendas and minutes
  • Undertake tasks in association with the other Directorate Administration Officers within PICU – i.e. rostering tasks such as distribution of rosters, reconciliation of sign on sheets and leave forms, providing payroll reports etc.
  • Provide relief (sick leave / training backfill) for the PICU Ward AO role as required.

The Successful Candidate
  • Proven ability to perform the key responsibilities associated with each of the specific roles outlined in the table above.
  • You will have demonstrated high standard of clerical, administrative and secretarial support to senior managerial positions.
  • High level communication and interpersonal written and the ability to consult and negotiate with clients and staff at all levels of the organisation.

This position is responsible for providing post office services to the community and general front counter and administrative support for West Arnhem Regional Council.

Key Responsibilities
  1. In collaboration with the Senior Customer Service and Administration Officer, ensure that high quality and efficient services are provided to Post Office and West Arnhem Regional Council customers.
  2. Ensure post office services are delivered in accordance with the West Arnhem Regional Council and Australia Post service agreement, including but not limited to: -
    • a. collecting mail from and transporting mail to the Maningrida airport in accordance with postal security requirements
    • b. sorting incoming and outgoing mail c. completing appropriate postal-related documentation such as changes of
    • address, theft or loss of mail and special services such as registered or priority mail
    • d. processing money orders, receipting monies, operating the EFTPOS system, recording and balancing daily transactions and ensuring security processes
    • e. selling and collecting payment for postage products such as stamps, prepaid mail envelopes and money orders
    • f. obtaining signatures from recipients of registered or special delivery mail g. weighing letters and parcels, computing mailing costs based on type, weight and destination, and affix correct postage h. posting announcements or other approved information on public bulletin boards.
  3. Identify areas of improvement and develop these to increase revenue, efficiencies and service levels.
  4. Receive notifications for repairs and maintenance of Council assets from tenants, guests and members of the community ensuring all relevant information is gathered, and refer to appropriate staff for action.
  5. Assist Council guests to check out of Council-provided accommodation. 
  6. Deal directly and promptly with customers in person and on the telephone in a courteous manner.
  7. Assist in the recruitment, training and mentoring of local Indigenous staff to work in the Council office.

Selection Criteria
Essential:
