A dynamic and exciting organisation based in a beautiful North Shore location is seeking an administration assistant to join their team. This role would be suitable for an administration assistant with 2 to 3 years of experience in a similar role, looking to take the next step in their career. Reporting to the General Manager and the Facilities Manager you will be responsible for supporting the facilities and administration team.
Key Responsibilities
- Dealing with telephone enquiries and ensuring they are directed to the appropriate person accurately and timely
- Managing the correspondence for the General Manager and Facilities Manager
- Creating and editing reports and documentation
- Using an internal maintenance system to track activities
- Management and payment of invoices
- Managing and ordering office supplies
- Providing any other general administration support to the General Manager and the Facilities Manager as required
The successful candidate requires:
- At least 2 years experience in a similar administration role
- The ability to process high volumes of information with a high degree of accuracy
- The ability to manage workload including the ability to prioritise work and meet established deadlines
- Excellent verbal, written and interpersonal communication skills
- The ability to effectively establish working relationships with all levels of stakeholders, both internal and external
- Intermediate to Advanced computer skills in Microsoft Office applications
- Computer skills with facilities management systems (preferably Archibus) and project management software (preferably Microsoft Project) (highly regarded)
This role will require you to be the first point of contact for all internal and external enquiries. You will be required to respond quickly and prioritise your workload accordingly. You should be a problem solver by nature and happy to take the initiative. The ideal candidate will be easy going and friendly, with the ability to get along well with the rest of their team.
