We are seeking a switched on and highly efficient Accounts Payable /Admin Assistant to join a project team based in South East Sydney Project Office. You will provide administration support to the project team. Ideally you have been working in project office environment. You should be a good communicator, be well presented , work well in a team, as well as working with minimal supervision.

KEY ACCOUNTABILITIES
  • Operate the McConnell Dowell cost system (Workbench) for the Project.
  • Provide timely cost reports to management.
  • Provide cash flows on a monthly basis.
  • Ensure all orders are completed correctly.
  • Collate delivery dockets and maintain material registers.
  • Check invoices against orders and delivery dockets and prepare for certification.
  • Collect and collate work hours for weekly paid employees and input into payroll.
  • Maintain Petty Cash site account and arrange reimbursement on a regular basis.
  • Administration of both Head Contract and Sub-Contract Agreements in accordance with the Specific requirements of those agreements.
  • Prepare project monthly progress claim, including the management of necessary inputs from the project team.

ANCILLARY ACCOUNTABILITIES
  • Maintain an assets register for the Project.
  • Prepare reports as required by the Project Manager.
  • Ensure adequate stationery supplies are maintained in site office.
  • Act as site receptionist and provide secretarial services to the site including filing.
  • Any other duties as may be required by the Company.
  • To be considered for this position you will need to possess a minimum of the following skills and experience:
  • Minimum 3 years experience in accounts payable dataentry, 2 years in Office Admin.
  • Professional Presentation skills
  • Excellent Communication skills both written and verbal
  • Good IT skills which include Word, Excel & database management tools
  • Energetic attitude a can do approach
  • Good Organization skills

Reporting to the Team Leader Accounts Payable this position is responsible for the processing of accounts payable data, ensuring timely and accurate payment to Vendors and providing excellent customer service.

As an Accounts Payable Officer you will:

  • Ensure correct paperwork has been provided before payments are processed; processes payment requests to allow payment within timeframes;
  • Answer queries or advises on likely response time and communicates to supervisor when workload expectations are not achievable;
  • Fileelectronic and hardcopy documentation according to agreed filing structure to allow easy retrieval;
  • Maintain data in related payment, reconciliation and accounting systems;
  • Identify improvements to work flow processes and suggests these to the AP Supervisor;
  • Advise management and suppliers of the impact of payment errors or incorrect details being provided such as delays or inaccurate or duplicated payments in order to prevent these occurring in future.

To be successful you will have:

  • Previous experience in an Accounts Payable or Accounting position;
  • Competent with the MS Office suite;
  • Demonstrated ability to build strong professional working relationships;
  • Ability to work autonomously and determine competing priorities in a fast paced environment;
  • Possess effective time management skills with accountability for work standards;
  • Previous experience working with SAP and Spendvision is highly desirable;
  • Certificate III in Business Administration or similar is highly desirable.
