Main purpose of the role:

The Administrative Assistant will support the smooth and efficient running of the Melbourne office. The Administrative Assistant will also provide support to a team of consultants with administrative tasks.

Key areas of responsibility:

Maintenance of office environment

  • Cleaning meeting rooms/ Kitchen tidying
  • Facilities maintenance/Cleaning of hot desks
  • Supporting a team of consultants & visiting executives as required
  • Entering timecards
  • Assisting with meeting arrangements (room booking, conference calls, equipment, refreshments)
  • Domestic & international travel bookings – flights, cars, hotels, airport transfers

Provide administrative support to VPs when necessary

  • Diary management/Arranging client meetings
  • Flight bookings/Travel arrangements
  • Time recording/Expense entry
  • Reception Cover
  • Assisting with arranging client meetings
  • Arranging office social events
  • Act as a first aid office and a fire warden (training will be provided)
  • Ensuring office is compliant with OHS requirements
  • Assist with client proposals, tenders and presentations as needed
  • Prepare and run client events (invites, tracking, liaising with venues/external catering etc)
  • Assist IT department (ITICS) with issues for Melbourne office
  • Invoice & expense processing
  • Other duties as required to meet the needs of Capgemini
  • Office tidy/sort - filing/store room
  • Expenses for directors
  • Photocopier repairing
  • Ad hoc duties
  • Office event organisation – for example, flu vaccinations, work health checks

Years Experience: Previous experience working as a personal assistant in a medium to large corporate environment

Education: HSC minimum requirement

Applications: Medium to high level computer literacy across Office programs: Word, Excel, PowerPoint, Outlook and Internet Explorer.
